Cost Per Mile Calculator — Frequently Asked Questions

Your truck payment, insurance, and a monthly maintenance reserve are the core fixed costs — they don't change whether you drive 5,000 or 12,000 miles that month. Fuel is technically variable but is usually rolled into a monthly average for this kind of quick check. Permits, ELD subscriptions, and phone/tablet costs belong in "other fixed costs." Leaving any of these out is the single most common reason owner-operators underprice their loads.
Your fixed costs (truck payment, insurance) stay the same dollar amount whether you drive 6,000 or 12,000 miles in a month — so spreading them over more miles lowers the cost per mile. This is exactly why parked trucks lose money: the payment and insurance are due regardless of whether you're loaded.
It varies widely by truck age, financing, lane, and how efficiently the truck runs — there's no single number that applies to every operation. Enter your own target in the optional comparison field above to check your number against whatever figure matters to you — your last quarter's actual number, a goal, or something a mentor told you.
Not in this calculator — this tool measures what it costs to operate the truck itself. What you pay yourself is a separate decision that should come after you know your true operating cost, not before. Once you know your cost per mile, you can work out what rate leaves enough margin for a real paycheck.
Recheck it whenever a major cost changes — a new truck payment, an insurance renewal, a fuel price swing that lasts more than a few weeks, or a maintenance bill that changes your monthly reserve. Most owner-operators find it worth a five-minute recheck once a quarter even if nothing obvious has changed.
